Events & Logistics Coordinator

First Aid Arts’ mission is to equip trauma care providers with arts-based tools and training. Our vision is a world where wounded hearts heal beautifully. Since 2010, we have partnered with over 600 individuals from 250 organizations in 46 countries worldwide providing training in the utilization of the arts and creativity as psychosocial support for self and others. We estimate that around 12,500 survivors of traumatic stress have been impacted by this work.

Central to our success and growth are the great people we employ and our vibrant team culture. As the Events & Logistics Coordinator you will collaborate with the VP of Program Development and Training to support our local and international trainings by communicating with potential trainees and partners, managing the registration process, and ensuring logistics run smoothly. With our Executive Director you will focus on planning the Annual Benefit and other friend- and fundraising events throughout the year. In addition, you will be responsible for the management of mutually beneficial volunteer opportunities for community members and inventory management for the merchandise that is sold online and at events.

Responsibilities:

Training Support (40%)

  • Correspond with prospective partners and participants through email and social media.

  • Oversee online registration process including creation of registration pages, payment collection, and correspondence with attendees.

  • Secure location, catering, and volunteer assistance with training partners in the field.

  • Ensure closure of post-training logistics and communication.

Events Management (20%)

  • Oversee logistics (supplies, printing, volunteers, set-up, take down, catering) for Annual Benefit.

  • Provide logistical support for other workshops, outreach events, and annual staff retreat.

Administrative Coordination (20%)

  • Keep notes during weekly staff meetings.

  • Respond to general inquiries to organization through website and emails.

  • Manage and book travel accommodations.

Volunteer Engagement (10%)

  • Manage mutually rewarding volunteer program to help fulfill the mission of First Aid Arts by recruiting, training, supporting, and thanking volunteers for trainings and events.

  • Develop volunteer strategy to fulfill FAA programmatic needs and vision.

  • Track volunteer hours for reporting.

Inventory and Supplies Management (10%)

  • Receive and process online merchandise orders.

  • Package and ship merchandise.

  • Manage inventory of training supplies and merchandise.

  • Purchase, prepare, and pack materials for domestic and international trainings.

Preferred Skills/Experience

  • Comfortable with event management, logistics, and online communication

  • Experience with Google Drive, Mailchimp, Excel, Squarespace, Trello, Salesforce

  • Passionate about creating a hospitable environment

  • Flexible to work occasionally (once every 1-2 months) on evenings and weekends depending on training or event schedule

  • Can work well with people from diverse backgrounds, beliefs, and cultural contexts

  • Great sense of humor, positive outlook, and able to effectively receive and communicate feedback

Reports to: Executive Director

Type: 20-30 hours per week

Compensation: $17 to $25 per hour

Location: Seattle, WA
